Let’s talk about a few easy tricks to help you keep your sanity when managing exhibitor booths at your event.

Know what sizes you offer and standardize them: Seems simple right?

Write down a list of what sizes you are offering and make sure it’s clearly communicated to your exhibitors.

Knowing your booth sizes will also help create cleaner floorplans and streamline your processes.

Yes, accomodating booth sizes are a great way to provide an excellent experience to your vendors, but keep them in standard sizing measurements. IE: 5′ or 10′ increments.

Label your booths in a logical way: 1,2,3,4 there ya go, you got this!

Want to know the best way to confuse your self and your attendees? By having a secret labelling system that makes absolutely no sense to the average person.

Keeping booths numerical is a great way to go!

Having an alphabetical identifier is also a great way. For example F123 for Food Exhibitors and B123 for Beer Exhibitors. If you go this route make sure to communicate what the identifiers mean to make it easy for people.

Keep track of booth amenities:

Corner booths, power options, shading, electricity, try remembering all that with 1,000 booths!

This will take some time to accomplish, but trust us it will be 100% worth it!

For each booth at your event, write down what amenities are available. It will make your life much easier when an exhibitor asks for a certain amenity and you can quickly pull it up and give them a correct answer.

Your exhibitors also like to know what amenities are available in the booths to help them with their booth selections.

Update booth statuses frequently:

Double booking booths? Yeah, that’s a no go…

If an exhibitor wants to reserve a booth, change the status to reserved.

Booths become available, mark them as available.

It seems quite simple, but it’s easy to let it get out of hand in a hurry. This will ensure your exhibitors are always up to date on what’s available and you can have peace of mind knowing booths are not double booked.

Communicate clearly:

Over-communicate as my mother used to say.

What’s worse than having your booth assignment changed? Not being told it changed until you show up at the event!

People do not like change, and changing booth assignments can be a testy subject.

Mitigate this by over-communicating. Most exhibitors are understanding, especially when you’ve been 100% transparent with them.
